Federal Work-Study Supervisor Guide
MBTS and Spurgeon College have established a structured process for supervisors involved in the Federal Work-Study (FWS) program. Supervisors play a crucial role in hiring, training, and supporting student employees. Follow the steps below to ensure compliance with FWS guidelines.
Checklist
- Complete Annual FWS Supervisor Training: Ensure you have completed the required training before hiring student workers.
- Job Posting Requisition:
- Submit Job Requisition Request via the Applicant Tracking System (ATS) on Paycom Client Side.
- HR will review and post the position on the Midwestern Job Board.
- Interview Potential Candidates: Conduct interviews with applicants to determine the best fit for your department.
- Making an Offer:
- Submit the offer letter via ATS.
- HR will review, approve, and send the offer letter to the candidate.
- Submit the Personnel Action Notice (PAN) to HR at the time of the offer.
- Offer Acceptance – HR Responsibilities:
- Move the candidate from ATS to Employee Self-Onboarding in Paycom.
- Email a welcome letter to the new hire with necessary information.
- Request a work email address from IT.
- Candidate Completes Onboarding – HR Responsibilities:
- Complete the background screening.
- Email the new hire to schedule an I-9 documentation appointment within the first three days of employment.
- Welcome New Hire:
- Introduce the new hire to other team members.
- Provide information regarding facilities (coffee, water, restrooms, etc.).
- Complete and submit the FWS Student/Supervisor Agreement to Financial Aid at [email protected] and to Human Resources at [email protected]. If you do not already have a copy of this document, please reach out to Financial Aid.
- Train and Mentor New Hire: Provide guidance and mentorship to ensure student workers are equipped for success in their roles.
